QUAD COUNTY ATV CLUB MEETING   Friday, August 13, 2010 – 7:00 p.m.

Quad County ATV Clubhouse   N14399 Arndt Road, Fairchild, WI 54741

Meeting called to order by Carl Spurling at 7:02 p.m.  Roll call taken – present were Carl Spurling, George Mann, Jill Sabin, Steve Buchholz, Sam Van Horn, Jeanie Olson, and Ardy Robertson.  Bill Bethke was absent.  Other club members present were John and Barb Stewart, Arlene Hanson, Ron Robertson, Bob Scott, Kelly Roberts, Willie Olson, and Bertha Jaenke.

Secretary’s report prepared by past secretary Linda Buchholz was read by new secretary Ardy Robertson.  Motion by George Mann to accept report with the correction of the date of the meeting which was July, 2010 rather than 2011. Motion seconded by Jill Sabin, and carried.

Treasurer’s report given by Jeanie Olson.  Letter received from Midwest Marine and Off Road in Osseo, regarding their poker run held July 31st, and enclosing a $68 donation from their 50-50 raffle, to the Quad County ATV Club.  Motion made by Jill Sabin and seconded by Bob Scott to accept report as presented. Motion carried.                                                                      

Discussion on club insurance and the additional $75 fee they are requesting, as well as the form they want filled our regarding the amounts of food sales, camping proceeds, and other profits the club makes. Carl Spurling will call and clarify what our coverage includes and what the fees are for, and will report back next month.

George Mann made a motion and Steve Buchholz seconded, to pay the outstanding bills.  Motion carried.

Committees reports – Mud bog races, Ron Robertson has been digging/enlarging the mud bog.  He reports it is pretty much done except for leveling in one section.  The angle of the pit had to be changed due to the electrical line running north of the pit.  We also need clay lining in order to seal in the water.  Ron and Carl will be hauling Ron’s excavator to Ron’s house to load clay. Kelly Roberts will help if needed.  Ron brought up trophies and prizes.  Ron Robertson made a motion to add $25 per class, total of $200 to the purse for the mud races and drag races, divided equally between the eight classes.  Jill Sabin seconded.  Motion carried.  Race classes will be determined by the committees.  Sam Van Horn will take Jill Sabin’s place on the drag race committee which is now Bill Bethke, Arlene Hanson, Sam Van Horn, and Chuck Jaenke.

Gary and Kathy Knuth will handle the food again.  Barb Stewart, Carol Bethke and Ardy Robertson will handle the clothing sales.  Bob Scott made a motion to close out all existing clothing at least by 30%, Steve Buchholz seconded. Motion carried.  We agreed that we do need to replenish our hat inventory – Jill Sabin made a motion and Sam Van Horn seconded it to order two dozen hats.  Motion carried.

Advertising for Labor Day event: Ad has been placed in WATVA magazine.  It was suggested that we advertise in the Ad-Delite, the Tradin’ Post Buyer’s Guide, and Arrow Shopper.  George Mann made a motion not to exceed $300 for total advertising in the papers mentioned above, Jill Sabin seconded.  Motion carried.

Regarding Poker Run, Willie Olson made a motion and Jill Sabin seconded that poker run entries must be turned in at least by 4:00 to 4:30 p.m.  Motion carried. Discussion included the rules which are that participants get a total of 10 cards.

Campground report – Carl is working on getting our permit in order.  He has an appointment with the campground person in Black River Falls.

Grounds: Mowing has been done, as well as trimming and spraying for weeds.

New Business – Trail maps.  We have very few maps left.  Several businesses have indicated they want an ad. John Stazek from the DNR wants us to discuss the intersection markings on the new maps with him before printing.  Steve Buchholz made a motion to table the maps until after Labor Day event, Bob Scott seconded. Motion carried.

Cory Ruppelt is requesting that we help park cars at his race event on Saturday, April 21, beginning at 6 a.m.  Carl Spurling will attempt to contact Cory on this.

Work Day Saturday, August 14th:  Work on mud bog pit, and ramp for trailer in order to get tractor in.

Old business:  Work needed on trail behind Sportsmen’s Club.  Steve Buchholz made a motion and George Mann seconded that we put the work needed on the agenda for the September meeting.  Motion carried.

Gary and Kathy Knuth have suggested a club ride over in the eastern part of the state by Green Bay sometime in the latter part of September or early October.

Jill Sabin has requested a three month leave from her position on the board.  Willie Olson made a motion to nominate Kelly Roberts to fill in for Jill while she is on medical leave. John Stewart seconded.  Motion carried.

Discussion on buying a digger for work on the track.  There was one available over at Peanuts’ Tractor Supply.  We will use Bob McBride’s digger for now and take a look at buying one in the future.

Volleyball courts – we will make a sand base over on the west side of the property and set them up.

Motion to adjourn by Willie Olson, seconded by Jill Sabin.  Motion carried.  Meeting adjourned at 8:47 p.m.

Minutes from July 9, 2010   

ATV Meeting Held @ club house on Arndt Road, Fairchild WI

 

President Carl Spurling called the meeting to order at 7:03 pm

 

Roll Call: Carl Spurling, John Stewart, Jill Sabin, Bill Bethke, Willy Olson, Jeanie Olson and Linda Buchholz were present.  Ron Robertson was absent.

 

Secretary Report was read:  Motion was made by Willy Olson to accept with rewording that the prizes were for the raffle not the Poker run   2nd by Jill Sabin

 

Treasurer Report was read:  Payment for the rental of the portable toilets (by Tim S.)  over the 4th was questioned.  Toilet and payment for use due by next meeting.  Motion was made by Jill Sabin to accept and 2nd by Pam Panecek. 

 

Motion to pay bills:  Insurance – will hold payment and Willy will call and check on the charges of a- $75.00 administration fee??  Pay Charles Jaenke for gas used to pick up tractor. – Motion made by Jill Sabin to pay bills and 2nd by Pam Panceck

Campground Report:  Need to fill out new paperwork for Licensing – handled by Carl.

 

Labor Day event was discussed – Some committee was formed – ATV Races – Bill Bethke, Jill Sabin, Arlene Hamm, and Chuck Jaenke.  Mud Bog - Ron Robertson, Kelly Roberts, Carl Spurling, Dave Panecek. 

 

Poker Run - Starts August 20th will run for 2 full weeks - stops on September 4th @ 3:00pm - 20 stops will be on form (entry fee is $5.00 up front at start points) – paritpants will play their 5 best cards.  Motion was made by George Mann and 2nd by Jill Sabin

 

Chinese raffle committee – was decided all members to solicit and Bertha would man the table, day of the event.  Food – Gary & Kathy Knuth will cook and operate same as previous years – Jill will notify them and make sure it’s a go.  Clothing needs will be review by Ardy Robertson, Barb Stewart and Carol Bethke.

 

Bleachers were discuss again, we like the looks of the Fairchild Lions club locate at ball field in Fairchild, A committee was formed to get estimates on construction vs. used – members are Steve Buchholz and Bill Bethke.  George Mann made a motion to table voting on bleachers until Rock Fest funds were paid reason being club just purchased a tractor, 2nd by Steve Buchholz.

 

Discuss the ATV trail in the Village, concerning David Card.   We need to know who owns the land and the future of said trail before making a decision.   Carl Spurling was going to get a copy of the map from the Village.  George Mann made a motion to table until we know who owns land, 2nd by Jill Sabin.

 

Updates on purchases – Tractor was bought for $3500.00 – 674 International with front end loader and back hitch for brush hog. Per John Stewart -Hydraulic pump appears to be weak, misses a bit may need new plugs or values need adjusting.  John Stewart replaced hydraulic lines and did oil change.  We need a ramp built so we’re able to drive tractor into trailer for storage?  Tractor is now being kept at Larry Smith place.  Linda Buchholz made a motion for a workday July 31st to build a ramp for the trailer. This way it can be kept at club property, motion 2nd by Jill Sabin.    Willy Olson suggests sand or gravel – he would donate if someone would haul.

 

A motion was made by Charles Janeke to let Travis have a free camping weekend at club property for bring out and position the new trailer.

 

Bob McBride asks if he could take back a few of the telephone poles & guard rails – Motion was made by George Mann to let Bob Mc Bride take back some of the poles & railing to move/build his garage motion was 2nd by Charles Janeke.

 

Carl Spuring closed the meeting for nomination of new officers, board members and secretary positions.

 

Nominations were taken for Vice President  - Bill Bethke & George Mann Called 3 times – nomination were closed.  – Election was held for that position.

 

Board members were nominated:  Sam Van Horn, Larry Smith, Charles Janeke and Steve Buchholz – election was held

 

Secretary were nominated – Arty Robertson

 

Meeting stopped at 8:25 pm – voting and ballot counting done - back at 8:35 pm

 

Possible votes were 27 including all members and 5 proxies.

 

Vice President Bill Bethke – 12 and George Mann 13

 

Board members Sam Van Horn – 25, Chuck Jaenke – 8, Larry Smith – 9, Steve Buchholz- 12

 

Secretary – Arty Robertson – agreed to be – no vote taken.

 

Elections were finished at 8:55 pm.

 

Additional items bought up after the election;  Ardy Robertson asked about sand box – Carl or Earl will bring one to club.

 

Float in Fairchild fun days was a yes – no committee was formed - will ride for sure

 

Point was bought up about fireworks on the 4th of July – we will let all neighbors know next year what night they would be held. Alls neighbor were notified this year, although not all in person – will mail the notice out next year.  Bob McBride made the motion at least one week in advance, 2nd by Jill Sabin

Motion to adjourn meeting by Charles Janeke , 2nd by Earl Coffey.

Minutes from the June11, 2010 Club Property – Fairchild, WI  
 Vice President Willy Olson called the meeting to order at 7:00 p.m.  Roll Call:  Present was John Stewart, Ron Robertson, Jill Sabin, Bill Bethke, Willy Olson, Jeanie Olson & Linda Buchholz.  Absent was Carl Spurling Secretary report was read – Motion was made to accept with corrections by Jill Sabin and 2nd by Bob Scott.  (Corrections – candy dollar amount 75.00 to 85.00 and the reading of the amended by-bylaw read done on April 9, 2010)                                         Treasurer report was read –Motion made to accept and pay bills by Jill Sabin and 2nd by Ron Robertson.   Website report –Update on events and pictures added Campground report – John Stewart will take water sample on Monday All unfinished business was discussed – Horseshoe already set – fireworks have been purchased. No permit is need to have fireworks show – verified with Cty Sheriff dept and township Clerk (Phil Hazard) 
Old business covered –Rock Fest all shifts are filled (dates are July 14-15-16-17-18) Update was given on membership. It was decided to give Business member an extended till next month due to upcoming Poker run.  Willy Olson will purchase tickets for the event – one-day – raffle  prizes same as last year poker run prizes are as follows - (1st prize $500.00 – 2nd prize $250.00- 3rd prize $100.00 – 4th prize - $50.00 – 5th thru 8th prize - $25.00 each) ticket will sell for $1.00 each or 6 for $5.00.Rerouting of the trails within the Village – discussion was put on hold until Carl is at meeting.  Plus the fence or block of trail for David card – question on what’s R/R property or his – Carl has a map?John Stewart made a motion to purchase a tractor for $5,500. or less - 2nd by Larry Smith   a committee was formed.  On committee are Ron R, John S. and Carl S.   Motion was also made by Ron Robertson and 2nd by Bob Scott to have Steve Buchholz to purchase a lawn mower and a weed whacker for $600.00 or less.Motion was made by Jill Sabin and 2nd by Sam Van Horn to donate the American Cancer society again this year.         
Lake Martha day parade – we will follow Osseo Dusty riders then Fairchild fun Days us first then Dusty Riders.Christmas party updated – ride leaves at 10:00 am – dish to pass – will purchase meat & beverages for the event - fireworks here.  
New business coveredNominations for upcoming positions were discuss – Willy mentions George Mann would be interested in vice President.  Bill Bethke was nominated for vice president.  Ardy Robertson for Secretary – Sam Van Horn, Larry Smith, and Charles Janeke for board members – declining above positions was Willy Olson, John Stewart, Ron Robertson, and Kelly Robert sand Linda Buchholz.  Nomations are still open and voting will be next month.           The discussion of bleachers was put on hold till next meeting.   If possible take a picture of the ones at Lions ballpark – possibly get an estimate.         
Labor day event was briefly covered – Jill Sabin and Bill Bethke to do ATV Races –1/2 CASH payout only for 1st & 2nd place winners – balance trophies.  Mud Bog committee was formed – on committee is Ron Robertson, Carl Spurling and Kelly Roberts.  Kelly mention to do a double drag race (pit would need to be enlarged)

Minutes from the May  14, 2010   Club Property – Fairchild, WI           
President Carl Spurling called the meeting to order at 7:00 p.m.  Roll Call:  Present was Carl Spurling, John Stewart, Ron Robertson, Jill Sabin, Bill Bethke, Willy Olson, Jeanie Olson & Linda Buchholz Secretary report was read – Motion was made by Jill Sabin to accept with the correction of Mercer trip vs. Hurley trip as stated and 2nd by Charles Janeke                                             Treasurer report was read – Motion made by Jill Sabin to accept and 2nd by James Wolfgang Website report –No updates Campground report – Motion was made by George Mann to pay for campground inspection of $350.00 and apply for campground licenses of $150.00, 2nd by John Stewart A brief update was discussed on the sale of the bunkhouse – The Committee for Jackson Cty didn’t vote and walked out – concern citizen are writing the State. Update on the town of Foster – Rock Dam trail will not be rerouted for Memorial Day weekend. Horseshoe pits/playground was put on hold – will discuss on May 15 when cleaning property - Food will be provided by Club for all workers.  Willy checked with Insurance Co. – horseshoes no problem – playground equipment is a liability. Will hold off on swing set.  Volleyball is a go – net and pole will be donated.Lake Martha Day – meet at usually location – no float – candy will be purchased.  Randy Wilkenson made a motion to approve $75.00 2nd by Sam Van Horn.  Motion was revised to include the Fairchild Fun Day parade also - $ 75.00 per parade.Fun Raiser was discuss – will be the same as last year with the exception of only a one day event.  Linda will try and get some sort of ad in the WATVA Trails Tales for summer print.Motion was made to sponsor the Fairchild Kids fishing contest for $250.00, motion was made by George Mann and 2nd by Randy Wilkenson.The leased parking lot on hwy 10 has expired and Linda is working with the DNR for renewal.Sam Van Horn suggested we get some estimates on a used tractor – for lawn mowing with our brush hog. July 3rd will be our Christmas party with a dish to pass – ride and then fireworks at dust. Motion was made to adjourn the meeting by Sam Van Horn and 2nd by Les Connell Next meeting June11th at club property – Arndt road Fairchild, WI
